Summary
The Legal Talent Specialist-Operations will support the day-to-day operations of the Legal Personnel function with a focus on tasks and special projects related to Firm policies, legal staff compensation, attorney programs and the departmental budget. This role will require a comprehensive understanding of Firm policies and procedures, the ability to meet competing deadlines, strong organization and communication skills and the ability to work collaboratively. Responsibilities
- Exhibits proficiency in Firm policies and procedures as they relate to lawyers;
- Provides administrative support concerning policy distributions/follow up;
- Provides support for the legal staff compensation process including providing ad hoc compensation information, as requested by the Managing Partners;
- Conducts various analyses related to Firm data and confirms accuracy of various Firm surveys and questionnaires related to lawyer headcount and policies; liaises with Business Development on written responses;
- Completes Firm and client surveys, including but not limited to, Vault, Chambers, American Lawyer, MCCA, NALP, Yale Law Women and other surveys related to Diversity & Inclusion;
- Contributes to monthly review of the departmental budget, as well as the preparation of analysis for year-end budget meetings;
- Prepares invoices for Firm payments and processes incoming associate expenses;
- Administers vacation policy for legal staff including maintaining internal tracking systems, fielding inquiries related to vacation balances and providing quarterly reports to partner groups/teams;
- Processes salary and employment verifications;
- Coordinates American Express card applications, tracking and distributions;
- Handles coordination of the Firm’s athletic and recreational programs;
- Reviews estimates and invoices related to attorney relocation and maintains relationship with vendors;
- Supports the Immigration Attorney and Legal Talent Manager – Operations on the immigration process for attorneys in the New York and D.C. offices, as needed;
- Supports the Legal Talent Manager – Operations and the Senior Project Manager – Legal Talent Management on the administration of Foreign Associate Program;
- Works closely with members of Firmwide Legal Talent team on various associate matters and initiatives; and
- Performs other duties as assigned.
Qualifications
- Bachelor’s degree;
- At least 3-5 years of Legal Personnel experience or applicable experience in a service industry firm;
- Must have the ability to work and interact with attorneys at all levels and the ability to gain strong knowledge of the Firm, its culture, practices and policies;
- Excellent organization and communication skills, in addition to superior judgment;
- Proficiency in Microsoft Office Suite and other legal personnel databases (including PeopleSoft) and ability to learn various homegrown legal talent and recruiting applications, as needed;
- Ability to work well under pressure and coordinate several activities at one time without sacrificing quality;
- Capable of solving problems and meeting deadlines;
- Ability to deal discreetly with confidential information; and
- Ability to work additional hours, as needed.
*This position is located in our client’s New York office, and currently has a hybrid work schedule, but that is subject to change. The estimated salary range is $70,000 to $85,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
