Summary
- Performs legal secretarial duties to assigned attorneys in the New York office. Principal attorneys to whom you will be assigned are significant firm originators and therefore generate a considerable amount of billing each month.
- Relationships
- Works closely with assigned attorneys and administrative staff Interacts frequently with other departments.
- Responsibilities
- Manage, assess and provide initial editing of a high volume of invoice pro formas and coordinate with billing department on finalizing invoices. Communicate directly with clients regarding billing inquiries
- Skillful at scheduling calls and appointments, “rolling calls,” good at handling clients
- Format and edit documents and correspondence, engagement letters and opening new client matters
- Client contact experience including phone communication, correspondence and appointments
- Must be able to handle multiple tasks in a very fast-paced environment
- Enter attorneys’ time and submit expenses
- Perform other work duties as assigned
- Provide backup secretarial assistance as needed and general support for ad hoc projects
- Maintain calendars and remind attorneys of meetings and events
Skills and Requirements
- Background in managing high volume of invoices and billing inquiries
- Possess strong computer skills: MS Office Suite, specifically in Microsoft Excel and Microsoft Word, iManage, Nuance, ChangePro, Kofax and iTimekeep
- Must possess strong interpersonal skills with a pro-active approach and sympathetic attitude in dealing with confidential matters
Specifics
- College degree (bachelors or associates)
- 5+ years as an Executive Assistant or Legal Secretary
- Excellent written and verbal communication skills
- Professional presentation and demeanor
- Possess enthusiasm, high energy and highly competent
