Managing Clerk

Summary

Premier, boutique, national, law firm is seeking an experienced Managing Clerk who will maintain the daily docket and provide guidance to case teams on court rules, execute court filings, and effect service of process.

Main Responsibilities

  • Manage firm’s docketing software (Deadline Assistant) and recommend and implement process efficiencies.
  • Maintain litigation docket and calendar to ensure compliance with procedural deadlines and applicable rules.
  • Manage and monitor calendar to ensure case teams are aware of filing deadlines and court appearances, including generating reports of action items and due dates.
  • Provide guidance to case teams regarding court rules, procedures, and time calculations; review court filings to ensure compliance with applicable rules.
  • Assist with e-filings, coordinate service of process, and act as liaison with court personnel, process servers, and other related vendors.
  • Maintain accurate attorney filing credentials, create court admission accounts for attorneys and troubleshoot credential issues.
  • Responsible for monitoring procedural changes in the courts, the firm most frequently litigates.
  • Monitor newly filed actions to keep the firm abreast of pitch opportunities.
  • Assist with opening new matters and incoming file transfers, including preparing and reconciling docket reports, researching and solving docket inconsistencies and questions.
  • Other duties as assigned.

Desired Qualifications, Skills & Experience

  • Bachelor’s degree or equivalent experience.
  • 5 to 7 years of progressive experience in a Managing Attorney/Clerk’s office at a law firm.
  • Substantial knowledge of litigation processes, court rules, procedures, and court filings, including computing deadlines and electronic filings.
  • Direct experience with rules-based calendaring software.
  • Notary Public license preferred.
  • Willingness and flexibility to work outside normal business hours.
  • Excellent oral and written communication skills.
  • Strong attention to detail with the ability to manage multiple priorities and track extensive details.
  • Ability to establish and maintain good working relationships with clients and all levels of personnel while handling confidential information sensitively and discreetly.
  • Ability to work independently and as part of a team in a fast-paced environment, while demonstrating initiative, diplomacy and tact when under pressure.
  • Proficiency in the Microsoft Office suite, advanced knowledge of Excel preferred.

***Salary is commensurate of experience and in the $90,000.00-$150,000.00, plus bonus.
